How to Know It’s the Right Time to Hire Someone in Your Business

Hiring your first team member — or even your next one — is a big move. It’s exciting, but it can also feel risky. How do you know if you’re really ready? What if you hire too soon? Or too late?

 

As a business coach who works with small business owners (especially tradies and service providers), I’ve seen both sides — business owners drowning in work who waited too long, and others who hired before they had the cash flow or systems to support it.

 

So let’s talk about the signs that it’s time to hire — and how to do it the right way.

 

1. You’re Turning Down Work (or Delaying It)

If leads are coming in, but you’re saying “not yet” or “I can’t right now” more often than you’d like, you might be capping your growth. A new team member could help you say yes to more work — and boost revenue.

 

2. You’re Always Working IN the Business, Not ON It

If you can’t step away from tools or client work long enough to plan, price properly, or work on your business strategy, it might be time to bring in support.

 

3. Burnout Is Knocking

If weekends are gone, sleep is interrupted, or your patience is wearing thin, you’re at risk of burnout. Hiring can reduce pressure — if done wisely.

 

4. The Work Is Predictable and Repeatable

If you’ve got consistent demand and repeatable processes (or you’re ready to create them), then hiring becomes less of a gamble. You’ll know what role to fill, how to train someone, and what results to expect.

 

5. You Can Afford It — Or You Will After Delegating

Hiring someone isn’t just a cost — it’s an investment. If delegating low-value tasks frees you up to do more quoting, managing, or money-making jobs, the hire may pay for itself quickly.

 

Before You Hire: Ask Yourself These Questions

  • What exactly do I need help with? Is it admin, labour, quoting, scheduling, social media? Be clear on the job description and tasks.
  • Do I have the cash flow to pay them for the next 3–6 months? Look at your numbers. Hiring is easier when you’re not guessing.
  • Do I have systems to help them succeed? Even basic checklists, templates, or a simple onboarding process make a big difference.
  • What would I do with the time I get back? More quoting? Better project management? Family time? Be clear on the return.

 

Start Small, Grow Steady

 

You don’t have to go from solo to CEO overnight. Many of my clients start with:

  • A part-time admin or virtual assistant
  • A casual labourer or apprentice
  • A bookkeeper or social media contractor
